Temporary Data Coordinator
The Pittsburgh CLO is a not-for-profit cultural organization dedicated to the preservation, creation and promotion of the American musical theater art form, the furnishing of arts education and providing meaningful community engagement opportunities in Western Pennsylvania and throughout the United States.
The Pittsburgh CLO, the largest not-for-profit musical theatre producer in Western Pennsylvania, is seeking a self-motivated, detail-oriented and inquisitive Data Coordinator. This temporary position provides technical, administrative, and analytics support for the Pittsburgh CLO and assists with its’ revenue functions, both earned and contributed.

What you’ll do:
Manage, oversee and maintain donor and patron database in Tessitura and OneCause including the accurate entry of all donation information into database; Assist with contact record maintenance, data cleanup, and overall list hygiene within Tessitura
Process donor transactions upon receipt, ensuring accurate recording of donations and donor information, including daily posting reports
Create, customize, and manage donor and patron lists to support telefundraising, robo-calls, direct mail, email and special campaigns
Create and schedule fundraising and earned revenue reports and dashboards, ensuring data accuracy
Work with the Development Coordinator and Development Associate to generate and customize donor acknowledgement letters on a weekly basis, generate solicitation letters and other correspondence as needed to ensure timeliness of communications to donors
Create and maintain campaigns in Tessitura and OneCause; Generate monthly campaign reports, pledge reminders and donor listings
Build and manage all PCLO promotional codes and maintain dashboards in Tessitura Analytics to track usage and measure campaign performance
Work proactively with the Finance department to ensure accuracy in donation records, including monthly reconciliations and reports; assist with reporting needs for annual fiscal audit and tax return preparation
Assist the Manager of Institutional Giving and other members of the Development department with completing grant applications and reports including Data Arts
Assist with donor relations, donor campaigns and events
Perform data analysis and research in donor and patron databases to support work on joint data-focused projects
Ensure proper training for individuals processing Tessitura and OneCause data entry
Coordinate technology needs for Development & Marketing Department including special event technology needs
Maintain Development sections of CLO’s website and CLO’s profile on web-based giving programs
Generate letters, correspondence, proposals and other solicitation and promotional materials as necessary
Generate supporting materials and reports for Board of Directors and Board Committee meetings
Represent Development team at data management meetings as schedule allows
Manage Development tickets with ISTS/Tessitura support team
Research and create detailed profiles for major donor and foundation grant prospects
Design and maintain processes for measurement, tracking and reporting donor information
Assist with the planning and implementation of the development program
Perform other tasks as assigned by the Director of Development to advance the goals and objectives of the CLO
What you’ll need:
Bachelor’s degree or equivalent experience in a related field such as Development, Data Analytics, Administrative Services, Accounting, Computer Sciences, or related field
3 years’ experience in a non-profit or community organization in development, database management, prospect research or marketing
Excellent computer skills, including donor/customer database programs and Microsoft Office Suite; Experience with Tessitura and/or OneCause highly preferred
Outstanding customer service skills
Excellent organizational skills with demonstrated attention to detail and accuracy
Strong aptitude for oral and written communication
Ability to work quickly and accurately in a fast-paced environment
Flexible and skilled at juggling multiple projects at once with the ability to adapt quickly
Ability and willingness to work nights and weekends, when necessary
Engaged in and inspired by Musical Theater
What we offer:
Hourly compensation starting at $24.00 per hour, commensurate with experience
Full-time, temporary, non-exempt position with a dynamic organization and engaged team
Anticipated dates of the position are ASAP through December 2026
Hybrid schedule preferred; fully remote possible for a candidate with very strong expertise
